POLICIES AND PROCEDURES

You must be 21 years of age to book a cabin with us.

CHECK IN TIME:
Guests can check in anytime after 3:00 p.m. EST. We make every effort to have your cabin ready with no delays, sometimes the check-in process gets slightly off-schedule no refunds will be given due to a delay in check-in. We suggest, if possible, arrive before dark. If you do arrive after 5pm, we are not responsible if you are unable to find your cabin ($25.00 service charge for escorting you to your cabin). If you're planning a late arrival time, please contact our office during business hours to make arrangements to pick up your key/code.

Check out time is at 10:00am.
Please put dishes and cookware in the cabin's dishwasher and start the machine. A minimum fee of $50.00 will be charged to your credit card if excessive cleaning is required. If you disconnected the TV cables to play games then you must reconnect the TV and cable cords. If you do not and we have to send a TV repairman to reconnect the cable or satellite, then you will be charged $25.00. Furnishings are NOT TO BE MOVED. Guests are responsible for damaged or missing items and for any extra cleaning or service calls due to negligence.

RATES:
Rates are subject to change at any time. Reservations for holidays and during the months of July and October require a minimum of three (3) nights. Reservations for all other dates require a minimum stay of two (2) nights.

RESERVATIONS:
You must be 21 years of age or older to make a reservation. NO HOUSE PARTIES.

Cabins are NON-SMOKING and can result in a fine of up to $1000.00.

NO PETS ALLOWED (unless listed as pet friendly). Anyone found with a pet in or on the premises will charged up to $1000 cleaning fee and will be escorted from the property immediately. All monies paid by the guests will be forfeited. For Pet friendly cabins there is a non-refundable $75.00 per pet fee.

Bear Camp Cabin Rentals caters to families and responsible adults. Singles under the age of 21 not accompanied by parent will not be allowed to register and will lose their deposit. Reservations made under false pretenses will result in a loss of deposit.

PAYMENT:
A deposit for half (50%) the intended stay is required at time of reservation. The remaining 50% is automatically charged to your card 10 days prior to your intended stay. We accept M/C, Visa and Discover.

Please contact our office if you will be arriving after hours. We will provide you with a map and key code to your cabin at our office in the mail box next to the front door.

INSECTS:
All units are sprayed monthly by a professional pest control company, but wasps, ladybugs and other insects sometimes infest rental units. We are in the Great Smoky Mountains and sometimes we have unwanted little guests that might decide to visit you and your family. There are no refunds due to these little guests!

MAINTENANCE:
Bear Camp Cabin Rentals performs regular maintenance on all cabins and makes every effort to keep all amenities in working order. As in any home, appliances, hot tubs, A/C and heating units, satellite TV, fireplaces etc. may malfunction on occasion. While we CANNOT offer refunds or discounts for such malfunctions, we will make every effort to correct any deficiencies as soon as possible during regular business hours. Please report all maintenance issues immediately.

DRIVING CONDITIONS:
Mountain roads can be rough at any time of the year. We do not guarantee any road surface conditions. Most roads in our area are well maintained, however some are curvy and steep. Some cabins have gravel drives. While these roads are routinely maintained, they may be bumpy at times. No changes or refunds will be given for fear of curvy or steep roads. During adverse weather conditions, we strongly recommend that guests use four wheel drive vehicles and or/chains. NO REFUNDS WILL BE GIVEN DUE TO WEATHER CONDITIONS.

LINENS/PAPER PRODUCTS:
All linens are provided, including bed linens and an adequate number of bath towels, hand towels, and wash cloths. A "starter" supply of toilet tissue, paper towels, bath soap, and dishwasher soap is provided. This is only a complimentary supply to get your vacation off to a good start. If you think that this is not going to be enough, please bring extra as we do not do a daily clean of cabins. The cabins are equipped with washers and dryers for your use.

CANCELLATION POLICY:
There is a $25.00+ tax processing fee for changes and cancellations if your reservation is cancelled prior to thirty (30) days of your arrival date. All of your deposit will be refunded, less the $25.00+ tax processing fee for changes and cancellations. There will be no refund for reservations canceled less than 30 days prior to check in. Number of nights reserved cannot be decreased, and no refunds will be given for early departure.

I certify that I am at least 21 years of age and that I will be held responsible for the care of the property being rented under my name. I accept responsibility for damages, theft or extra cleaning charges during or those discovered after departing from the above rental. I authorize these charges to be debited from my credit card on file.
